Purchase Flights and Cancel Flights

How to purchase and cancel your flights

Confirm Flight Details

Once you have completed confirming your traveler's flight details and selected their seats, you can click on the 'Purchase for $xxx.xx' button at the bottom to move to the Purchase Flights Screen.

Now that you have all of your flight details confirmed and your seats selected you will arrive at the Purchase Flight screen. Here you can take one last opportunity to review the details of the travelers and the flights as well as the payment card associated with the purchase.

Flight taxes, fees and charges

On the right you will see of of your options listed and you can click on 'view taxes, fees, and charges' to see the specific airline and governmental fees associated.

Adding and naming a credit card:

You will all also be able to choose the card you wish to book these flights to. If you do not already have a card added to your Accounts Page (See 'Accounts Page' article for more information) you will be prompted here to add one. To add a card simply click 'Add Method' and this will open up a modal.

You can add a 'name' to the card that identifies it for future projects or departments.

Note: you can choose which travelers get billed to which cards simply by checking or unchecking them to purchase on the previous screen (Confirm Flight Details).

Confirm Purchase

When you are satisfied with the details you can click on Confirm Purchase to initiate the purchase of your flights. The purchase process can take up to 2 min+ depending on the number of flights in your purchase.

Once completed you will see a confirmation screen displaying the number of flights successfully booked out of the total flight purchase.

Note: Some flights may not execute successfully based on availability and your status confirmation page will indicate how many and which of those flights will need to be executed again. This can occur if you have had the flight selections sitting too long without purchase.

Now that all your flights have been booked you can either click on View Flight Details under each of the flight purchases or click 'Back to Project' to return to your project page.

Once you are back in your project you can see now that the Status of your flights is 'Booked-Pending'. This means that the flight booking has been sent to the airlines/GDS to ticket. It can take up to 20 minutes for ticketing to be confirmed (typically takes 3-5 minutes). Once ticketing has been confirmed the status will change to 'Ticketed'.

You will receive your confirmed itineraries via email within a few minutes, once you have received those, you can refresh your project page to see the itineraries show up on the right itinerary panel and your statuses' will change to 'Ticketed'.

Each of the flights now have an option to click 'Booking Details' and view all details associated including the flight Record Locator (the 6 character code used by the GDS to identify the booking record), Confirmation # (the airline confirmation code) and the Seat assigned (if applicable).

Note: The Confirmation number will take a few minutes to populate, if it does not populate within 10 min, refresh your page or contact support.

Sending Travel Details to the Traveler

From within the booking confirmation page you can now send the travel details to your traveler by clicking on 'Send Travel Details'.

Canceling a flight

You can cancel a purchased flight for a full refund if done on or before 11:59pm PST the day after the purchase by clicking on the 'Cancel flight' button in the booking details page. Once you cancel a flight, a modal will indicate the charges refunded and ask you to click Cancel Ticket.

Refund: The refund can take 5 to 7 days to reverse back to the card it was charged on.

NOTE: Keep in mind that the Tripgrid platform fee of $15 will still be charged for a cancellation. Only the flight purchase price will be refunded.

Once canceled, the flight confirmation will indicate cancellation confirmation and the amount to be refunded. You as the travel arranger will also receive an emailed itinerary confirming cancellation.
