How to Manage Traveler Profiles

Updated over 4 years ago

Traveler profiles contain information about the individuals that are tied to the other travel data types found in Tripgrid such as flights and accommodations. By generating and maintaining Tripgrid traveler profiles, your organization creates a constantly updating user directory containing all the relevant data needed to successfully plan and coordinate their travel.

Traveler profiles may be automatically generated via integrations and parsed emails, but you can also create them manually.

To view or manage your workspace's traveler profiles, click the "People" button on on the left sidebar to open the all profiles page.

Adding a New Traveler Profile

After opening the all profiles page, click the "Create Profile" located on the top right corner of the all profiles page or the "Add Profile" button in the bottom left corner of the profiles table.

Add the user's information. Please note that the asterisk * next to the input label denotes a required field. Once you have finished entering their information, click "Create Profile".

After creating the profile you will be taken to the view mode for this profile. This is the same view you will see when opening an existing profile. Click "Edit" to the right of the Personal or Company Settings section headers to view or change the values for the exhaustive list of properties tied to the traveler profile.

Adding Travel Documents and Loyalty Programs

Traveler profiles can also store travel documents (passport, id card, TSA number) and loyalty program data needed for booking. Click "Add Document" or "Add Program" to begin the process of adding a new entry.

Enter the data for the document or program and click the save button on the bottom right of the form.

After saving you will see a new entry for the document or program. Click the "View" button to the right of the entry to view details or make changes. Please note that travel document numbers are obfuscated after they are saved to protect sensitive data.

Deleting Travel Documents and Loyalty Programs

To remove a document or program, click the trash can icon on the top right while viewing or editing it and confirm the action.

Deleting a Traveler Profile

If you need to completely remove a traveler profile, click the trash can icon on the top right while you are in the view mode of the profile and confirm the action.
